Important changes to annual leave calculations

We've been working hard on a major overhaul of how we manage the whole TimeOff section. There are a number of important changes that you should be aware of.

1) My TimeOff
Employees logging in to My TimeOff they will see the bar chart with their annual leave details as usual. However, we have now added an additional bar for any carried over annual leave and an additional bar showing manual adjustments. This should make it more transparent to employees how their annual leave balance is calculated.

2) Accrual of Annual Leave
As an owner you can see employees accrued annual leave in the reports section. We now use this calculation to define the data in My TimeOff - Annual Leave. The benefit in doing this is that if a new employee is added to your company during a leave year you do not need to make a manual adjustment to pro rata their annual leave for the year. It is automatically calculated on a pro rata basis from their start date. Employees with a full leave year will see their full annual leave allowance as per previously.

You might remember when adding employees that if they started during the leave year you were prompted to make a manual adjustment. This prompt has now been removed.

The rate at which accrued annual leave is calculated is as follows: (number of days annual leave)/(number of working days in a year) * number of days worked to date. This calculation is projected forward to show how many days annual leave an employee has if they started during a leave year.

If an employee leaves your company during a leave year this accrual should be carefully checked because different countries have different legal requirements governing how a departing employee's annual leave balance is calculated.

Also, if the amount of annual leave an employee is entitled to changes mid year (for example if they're promoted to a higher rank with greater leave entitlements) it will begin accruing at the new rate from the date the annual leave allowance is changed.

3) Leave taken before company setup
We have removed this data input. Effectively it was duplicating the functionality of the Manual Adjustment.

4) Manual Adjustments
For the sake of clarity, if you make a manual adjustment to an employees annual leave it only applies in that given leave year i.e. it will not be applied in any following leave years unless re-entered.

5) Excel spreadsheet
There was a known bug that was effecting some of the annual leave data in the Excel reports. This has been corrected.

We believe that these changes are absolutely for the best and will result in a better system for you. We will also be adding more improvements over the coming weeks.
